Privacy Policy

Artemis Group Tools ("Artemis," "we," "us") provides desktop software and related online services for managing VRChat groups. This policy explains what we collect and how we use it.
Information we collect
- Account information — the email address and password you use to create an Artemis account. Passwords are stored only as a salted cryptographic hash; we never store or see your actual password.
- Subscription & payment information — your subscription tier and status. Payments are processed by PayPal; we receive a confirmation and your billing email, but we never receive or store your full card or bank details.
- Technical & security data — a device identifier and IP address, used to enforce your license, bind your session to your device, and prevent fraud and abuse.
- VRChat login credentials (your VRChat username, password, and session cookies) are stored locally on your own computer (encrypted) and are never transmitted to or stored on our servers.
- Linked VRChat accounts — when you sign a VRChat account into Artemis while logged in to your Artemis account, we store that VRChat account's public user ID and display name (and which app slot it was used in) on our servers, linked to your Artemis account, so the association follows your account across devices. We do not store your VRChat password or login cookies. You can remove a link at any time from the Profile screen.
How we use information
- To provide, maintain, and secure the service and your account.
- To process and manage your subscription.
- To detect and prevent fraud, abuse, and unauthorized use.
- To contact you about your account, including password resets and important service notices.
How we share information
We do not sell your personal information. We share limited data with service providers who help us operate: PayPal (payments), Cloudflare (hosting & security), and Resend (transactional email). We may disclose information where required by law.
Discord bot (Artemis Audit Bot)
Some customers run our optional Discord bot ("Artemis Audit Bot") in their own Discord server. When a server's operator enables it, the bot processes a limited amount of Discord data solely to provide its features:
- Audit relay — it posts your VRChat group's audit events (joins, leaves, kicks, bans, role changes) to a Discord channel the operator chooses. It reads VRChat data for this, not your Discord messages.
- Welcome messages — when a member joins the server, the bot may post a greeting that mentions them, using only the new member's Discord user ID; it stores nothing else about them.
- Support tickets — if the operator enables tickets, the bot stores the Discord user IDs of the person who opened a ticket and the staff member who handled it, plus the ticket's channel and type. When a ticket is closed, the bot can save a transcript of that ticket's channel (including the messages and usernames in it) to a transcripts channel the operator controls.
- Accountability log — the bot records which Discord user ran a moderation command, posted to a log channel the operator chooses.
The bot does not request the Message Content privileged intent, does not read or store your messages outside of a support ticket you take part in, does not send you direct messages or marketing, and never asks you for your Discord password or login. This data is used only to provide the features above; it is never sold, shared with data brokers or advertisers, or used to profile you, and it is shared only within your own Discord server and with Discord itself.
Retention & deletion of bot data. Open-ticket records are deleted when the ticket is closed. Ticket transcripts and accountability-log messages are stored in the Discord channels the server's operator controls and can be deleted there at any time. To access or request deletion of Discord data the bot holds about you, contact us at the email below or your server's operator; we honor deletion requests from you, from the server's operator, and from Discord, and we automatically delete a server's stored bot data when the bot is removed from that server.
Data retention
We retain account information while your account is active and as needed to meet legal, tax, and accounting obligations.
Your choices
You may access, update, or request deletion of your account information by contacting us at the email below. You can unlink any linked VRChat account yourself from the Profile screen in the app, which deletes that link from our servers.
Children
Artemis is not directed to, and may not be used by, anyone under 18.
Changes
We may update this policy; the effective date above reflects the latest version.
